Some disadvantages to email are that it is not private and is retained for years. Senders do not give as
much care to brief emails as to written communications.
Email tone can anger the recipient (dispute-exacerbating email model), so edit carefully and be prepared
to apologize for misunderstandings.

23. Describe the problem of bypassing. Give an example of bypassing that you have personally experienced or witnessed.

Bypassing occurs when people assume that a word has the same meaning for everyone. Managers and
employees often have different meanings for the same words. Vague phrases are sure to have different
meanings for different people. Emoticons can cause misunderstandings. Cultural differences can cause
bypassing problems, especially in global firms. Different words for the same meaning also cause
bypassing problems.

24. If you had a friend with high trait anxiety, what procedures or steps would you recommend that he or she follow to
manage anxiety? Be specific.
Trait anxiety (communication apprehension) stems from internal feelings that a person brings to a
communication situation. Trait anxiety is different from state (situational) anxiety. Trait anxiety is both
learned and inborn. Many techniques help manage trait anxiety. Most require professional help. One
approach is to use positive imagery, which helps with both kinds of anxiety, and is easy to use. This
method requires imagining success and has been used successfully for years in sports, music, and
theater. With this technique visualizing needs to be done with as much detail and clarity as possible.
Additional methods include systematic desensitization (relaxation with deep breathing) to relax;
cognitive restructuring of self-talk to identify irrational thoughts; skills training to identify goals,
behaviors and skills to meet the goals;
Define the terms situational anxiety and trait anxiety, identify which type anxiety gives you the most
problems, and list several specific tips for managing each type of anxiety and which ones seem the best
for you.
