Once your business message is concise, complete, and to the point, you are ready to
distribute the finished product. Focusing on cost, convenience, time, and security &
privacy will convey the message to its intended receiver effectively.
Most often, cost is not a concern unless it requires printing, binding, and delivery of a
lengthy message. After determining the cost, then a company can weigh the advantages
and disadvantages of sending a message through this process. Organizations will assume
major expenses with the hardware, software and materials required to distribute a
companywide message via hardcopy. Costs can be drastically reduced or avoided by
conveying messages through electronic mediums like the internet, email, and a local
company intranet. In real estate, agents were recently introduced to e-signature software
that allows them to email contracts, have their clients review online, and sign and return
without them having to print any documents.
It is vitally important to consider convenience when sending a message, that the intended
receiver is able to receive the message without error. There can be issues with hardware or
software compatibilities making the message useless. Not everyone may be up to date with
the new technology that is out there, so taking that into account, make sure you are able to
send your file in a convenient manner (Dee, 2011). Assuming that all audiences are up to
date with new technology can be very costly and time consuming when a message reaches
its intended destination but presents no value to its receiver.
