When writing a business message, it may be hard to think of what to put in it without
sounding repetitive or making the message unclear for your audience to understand. The three
step writing process helps you from the start of thinking about what to write to the finishing
touches of the message to make sure there are no errors or repeated sentences. The three
steps in the writing process are plan, write, and complete.
The first step in the writing process is to plan. When planning your business message,
the first thing you want to do is analyze the situation by characterizing your purpose and
developing a profile of your audience, you also want to gather information that will meet your
audience’s needs. After that you want to decide which media and channels to deliver your
message. For example, when I delivered my message the channel I chose was electronic. The
last thing to planning your message is organizing the information defining your main idea,
limiting your scope, selecting an approach, and outlining your content.
The second step in the writing process is the writing portion of the business message.
With this step, you should adapt to your audience with relationship skills, sensitivity, and style
in order to get the audience to get an understanding of what you’re trying to say. For example,
if you’re writing an email to your boss, you should try to not use informal wording or shortening
any words. It is also important for you to let your audience know that their needs are as
important to you as they are to them. Once you know how to form the message in a way where
the reader will be able to get an understanding from it, then you can begin writing the message.
From there, you will choose your wording wisely, create effective sentences keeping them short
and simple, and form them into coherent paragraphs. As I was working on the business email, I
made sure I chose the correct wording that belonged in each sentence.
The final step in the writing process is completing your message. With this step, you
